Introduction

Cubyts automatically creates a workspace for you when you sign up for the platform (with you as the super administrator of the platform). You have the option to use this as a personal workspace for yourself or as a shared workspace that can be used with your team to Manage and scale Design with confidence. 

What can you do using your workspace?

With the shared workspace, you and your team will be able to optimize and streamline design execution, leading to improved efficiency, quality, and collaboration in the context of design strategizing, planning, and execution. The capabilities of a workspace include the following:

  • Standards: This module will enable you to manage your design standards e.g. Design process for execution, Design activities as a unit of work, and Best practices to aid completion of work.
  • Projects: The Projects module will enable you to conceptualize, structure, plan, and execute your Design initiatives with your team; you can collaborate with your stakeholders (customers, product managers, etc.) and share the outcomes of designs in products like Atlassian Jira.
  • Teams: With Teams, you can not just manage the platform authorization; you can also manage the health of your team by analyzing the workload of your team members, by looking at utilizations across various projects and therefore ensuring a well-balanced design team (that blends well with your stakeholders).
  • Repository: The Repository module is the central piece of the platform, this is the place where you will find all your documents (that are created across various projects, across various impact measurements, across various tools that you may have integrated, etc.); With Repository, you will also be leverage the Organization knowledge at the point of consumption with the intelligent AI-driven repository functions like Summaries, Q&A, chat with document, etc. (which will be coming soon on the platform made available based on a plan that you have purchased).
  • Insights: With insights, you will be able to see the results of all your actions on the platform; in other words, it's a place where all your actions come together to give you comprehensive visibility of various dimensions like Execution, People, Business alignment, Time Reports, etc.
  • Administration: The administration module allows you to manage baseline workspace information, seat administration, and the billing function. In addition, you can also integrate with an ecosystem of platforms supported by Cubyts to augment the platform workflows (e.g. Google Drive, OneDrive, etc.). 

A few tips to set up your workspace

1. Give your workspace a name

  • Go to Settings  -> Workspace Info


  • Change the workspace name to your team name so that your team is able to relate to the workspace.

  • We also recommend you upload an image that represents the intent of this workspace (e.g. customer logo if this workspace is going to be used for managing a customer engagement or your product logo if this workspace is going to be used to strategize and manage design initiatives for a product). 


2. Manage work-time settings 

  • Click ‘Customisation’ inside settings to manage your work-time settings.


  • You can set the working hours per day and working days in a week as per your requirement (Note: this configuration is applicable across all modules in the platform).


3. Manage your workspace authorization

  • The platform supports permissions at two levels (Workspace-level permission and Project level permission).

  • Workspace-level permission (Super Admin, Admin, and Observer) controls the access to various artifacts associated with the workspace.

  • Project-level permission (Owner, Contributor, and Viewer) controls the access to a particular project 

  • You can manage workspace-level and project-level permissions from the Teams module.

  • In addition, you can also remove a user from the workspace. 

  • Note: Your actions here may have an impact on seats accounted for billing


4. Manage your plan and billing

  • Go to Settings  -> Billing, get a view of your plan, allocated seats, last payment details, expiry, invoices, etc.

  • Click on View Plans and Pricing to get a comprehensive view of your current plan. 

  • Note: There will be a dedicated article for Billing and Plans offered by the platform.


5. Manage your workspace seats

  • The number of seats in the workspace is directly proportional to the billing (monthly or yearly, depending on the subscription tenure).

  • The following permissions are considered as seat occupiers (hence considered for billing):

    • Workspace permissions: Super Admin, Admin.

    • Project permissions: Owner, Contributor.

  • The following permissions are not considered as seat occupiers (hence not considered for billing):

    • Workspace permissions: Observer.

    • Project permissions: Viewer.

  • You can use the seats functionality to free up seats or delete seats to optimize billing. 



6. The concept of multiple workspaces in Cubyts

Every user in the platform has a personal workspace; additionally, you may be part of multiple workspaces based on invitations received from other users on the platform.




The platform will remember your last workspace selection and will be set as your default workspace.
